Give every message one job

Don't cram the whole workflow into one email. Send a thank-you, proof instructions, a selection reminder, final delivery, and a closing notice. Use dates that match your contract and editing queue; the copy below doesn't set your turnaround time.

Message 1: the same-day thank-you

Subject: Thank you for today

Hi [First name], thank you for trusting me with today's session. I'll send your private proof gallery by [date], along with instructions for access and selections. If a privacy question comes up before then, reply to this email. [Studio name]

  • Give the client a real date.
  • Tell them where to send a privacy question.

Message 2: private proofs are ready

Subject: Your private proofs are ready

Hi [First name], your proof gallery is ready: [private link]. Enter with [the PIN / this invite link]. These are unfinished previews, so downloads are off. Favorite the images you want retouched by [date]. I'll confirm the list before editing. [Add the actual access or invite-expiry rule here.]

Open the link in a signed-out browser before you send it. The proof-sharing checklist covers the rest.

Message 3: selection reminder

Subject: A reminder about your favorites

Hi [First name], your proof selections are due on [date]. Open the same gallery and favorite the images you want retouched. If you need help narrowing the set, reply before the deadline. I'll confirm the list before editing starts.

Link to the agreed selection count and missed-deadline policy. Don't rewrite those terms in an email.

Message 4: retouched finals are ready

Subject: Your finished gallery is ready

Hi [First name], your retouched images are ready: [private link]. Open Finals and download the files by [date]. Framekeep keeps the proof previews separate with downloads off. Please check the files on the device where you plan to save them, then tell me if anything is missing.

In Framekeep, mark the delivery files Final before turning on downloads. Check the download guide before sending the email.

Message 5: access or expiration reminder

Subject: Gallery access reminder

Hi [First name], [the invite expires / the gallery moves to archive / the studio deletes the gallery] on [date]. Please finish your approved downloads before then. If you need help, reply before the date.

Pick one bracketed action. An expired invite, an archived gallery, and deleted files are different things.

Close with an optional review request

Wait for the client to confirm the files, then send the review request on its own. A review should never feel like the price of getting support.

The boudoir review email lets clients keep public details general.
